Reviewing the XchangeIT EDI roll out

My newsagency software company, Tower Systems, is participating in the review of progress to-date of the new XchangeIT platform.  I requested a review to assess some customer service issues and, in particular, the timeliness of support and newsagent communication.  I am glad that XchangeIT agreed to the request.

Newsagents, magazine publishers, magazine distributors and newsagent customers all rely on the service and software provided by XchangeIT. Enough newsagents are using the new platform to make a review of this and the supporting infrastructure to be useful.

Magazine management training popular

The magazine management online training workshop offered by my software company, Tower Systems, continues to be the most popular training we offer.  Run every two weeks, these free sessions continue to be booked out well in advance.  The next session, Tuesday August 25 at 2pm filled up today.  Another session is scheduled for September 1 at 11am.

The magazine management training session covers not only the latest XchangeIT related training but also magazine distributor specific training on electronic returns as well as operational improvement opportunities for the back office processes around magazines.  The session is run by a former newsagent with excellent IT skills.

We newsagents complain a lot about amgazines.  The latest IT changes give is more opportunities to drive change than ever before.  This training aims to help newsagents make good progress on this.

Any newsagent, regardless of the software they use, is welcome to participate in the magazine management workshop.

It is great to see newsagents embracing magazine management training and even better to see them embrace online learning.  We will run over 300 free online workshops this year – that is a tremendous amount of free education.

Promoting newsagency software at GNS Fair

My software company, Tower Systems, tested a promotion for the GNS Market Fair in Melbourne this past weekend. Anyone buying a system from Tower at the fair received a $1,000 credit to their GNS account. We have decided to run this promotion for the Sydney GNS Market Fair this coming weekend.

With so many suppliers investing in electronic business gateways for newsagents, we wanted to offer a cash incentive which compliments the time and money saving incentive for newsagents installing Tower Systems’ software for newsagents.

How software companies are handling the latest XchangeIT and other changes brings the choice of software into focus. We figured this would be a good time to offer an incentive on top of the Tower Advantage TM. It is also designed to help drive traffic to the GNS Market Fair – we promoted the offer this week to newsagents by fax.

Easier magazine returns for newsagents

With excellent progress from the recent trials of the new link to Network Services, my software company, Tower Systems, has launched a new campaign promoting its newsagency software solution.  This includes the very latest electronic returns facilities for Network and the other magazine distributors. For the first time, newsagents are able to lodge regular and supplementary returns submissions from within their software and without having to complete paperwork or re-enter data on a website.  This is a tremendous time saving.  It also benefits cash-flow.

I understand the value of the benefits from these latest advances because two of my newsagencies are in the trial.  Owning newsagencies and a software company has allowed us to finesse the solution to maximum advantage for newsagents.

XchangeIT EDI compliance training for newsagents

My newsagency software company, Tower Systems, is hosting a free online training workshop for newsagents on the new XchangeIT standards tomorrow – July 14.  This is a repeat of the training already undertaken by hundreds of Tower newsagents.  Any newsagent is welcome to participate.  The workshop will cover the what you need to do to access EDI returns, including supplementary returns – and thereby access faster credits for returns.  Please register through the booking page at the Tower website.

How do you process your returns?

I heard of a newsagent yesterday who sorted magazines by distributor before scanning returns because the software they used required this.  They were adamant that they had no choice.  I was shocked. Returns has to be simple – easy for anyone to do with little training.  Smart software will let you scan in any order.

No need for newsagents to rush software decision

POS Solutions are telling newsagents (through their blog) that they have 15 days left to access the 50% invetsment allowance.    With many newsagencies turning over less than $2 million, there is no rush – the 50% tax break is available until the end of this year.

To help reduce confusion, click here for details on the tax break (investment allowance) offered by the federal government from late last year and enhanced in this year’s budget:

The Small Business and General Business Tax Break legislation has received Royal Assent and is now law.

The business tax break, in the form of an investment allowance, provides:

Small business entities (turnover of less than $2 million a year):

An additional tax deduction of 50 per cent of the cost of eligible new tangible depreciating assets where the business commits to investing in the asset between 13 December 2008 and 31 December 2009 and first uses the asset, or installs it ready for use, or (in the case of new investment in an existing asset) brings the asset to its modified or improved state on or before 31 December 2010.

Other business entities (turnover of $2 million or more a year):

  • an additional tax deduction of 30 per cent of the cost of eligible new tangible depreciating assets where the business commits to investing in the asset between 13 December 2008 and 30 June 2009 and first uses the asset, or installs it ready for use, or brings the asset to its modified or improved state on or before 30 June 2010.
  • an additional tax deduction of 10 per cent of the cost of eligible new tangible depreciating assets where the business commits to investing in the asset between 13 December 2008 and 30 June 2009 and first uses the asset, or installs it ready for use, or brings the asset to its modified or improved state between 1 July 2010 and 31 December 2010.
  • an additional tax deduction of 10 per cent of the cost of eligible new tangible depreciating assets where the business commits to investing in the asset between 1 July 2009 and 31 December 2009 and first uses the asset, or installs it ready for use, or brings the asset to its modified or improved state on or before 31 December 2010.

While I would not ant to get in the way of newsagents who want to improve business efficiency through an investment in technology, I’d suggest that there is no need to rush unless your revenue is above $2 million (retail sales plus agency commission).

50% tax break available until December 2009

Poor advice has been provided by some parties to newsagents about the tax break.  The ATO has confirmed that businesses turning over less than $2 million a year have until December 31, 2009 to purcahse eligible items.  For more details on this and for the tax break for businesses turning over more than $2 million please click here.

The person at the ATO I spoke with said that they have heard of “manipulations” of invoices to maximise the tax break.  One example was software being provided free which had a published price prior to the announcement of the tax break.  Such manipulation to avoid tax may be reversed if discovered by the Tax Office.

Time is not running out for many.

EDI standards unify newsagents

Unity is an overused word in the newsagency channel.  Right now, however, unity is on show for newsagents in a practical and commercial way.

For the first time in years, all magazine distributors, key publishers, software companies and newsagents are all working to a common goal around new XchangeIT EDI standards.  This unity of purpose has been driven by the distributor’s desire to cut costs out of their back end.

The new technology and processes software companies and magazine distributors will implement will cut costs for newsagents.  This is why many newsagents are getting behind the project.

Down the track, once the new XchangeIT EDI platform is fully rolled out, I will see significant innovation.  Software companies and magazine distributors will have the ability to better demonstrate valuable points of difference.  Newsagents will benefit from the renewed competition which will flow from this.  Core standards will drive unity but also intensify competition.

As the new XchangeIT standards further evolve, I am certain that we will see more opportunities for a common approach by newsagents and stakeholders – more unity of purpose. Thinking about this today made me reflect on the importance of commercial unity compared to the political unity which continues to elude the channel.

While some will say that newsagents should have owned the EDI standards and platform, it is too late for that.  The opportunity of newsagent ownership of the data channel into the newsagent network was botched by newsagent leaders earlier this decade.  What we have today is better than what was planned back then.

As more newsagents embrace XchangeIT and the new disciplines I am excited by the opportunities ahead.  This is a platform which we can leverage for the benefit of newsagents.  It is also a platform through which leadership can shine.  My only frustration is that it has taken so long to come to fruition.

I have a vested interest because I own Tower Systems.  I have respected that by reducing margin – because of easier sales to newsagents who want the benefits of compliant software – as reflected in our Connections with ACP joint promotion.

Beware free software

Newsagents are being offered free software by a couple of software companies.  In one case, the system being offered for ‘free’ today cost the same a couple of months ago.  They have reconfigured how this is invoiced to improve the tax situation.  They are also charging for the software annually – if you don’t pay, access to the software stops and you lose access to your data.

Another company is giving away their software but charging hefty fees for training, support and plenty of essential add-ons.  They also have a mandatory annual fee which, if not paid, blocks access to your business data.

Take care, research the costs, get the total cost of ownership for three to five years in writing.  Beware of free claims as you want to deal with a company which has a business model beyond the next sale.

Exclusive offer for Connections with ACP newsagents

Warning on magazine returns

Magazine distributors in Australia are serious this year in enforcing rules around magazine return claims.  Whereas in the past they have permitted paper, fax, website and EDI claims, they have eliminated fax and will eliminate paper claims.  This brings the website and EDI returns claims into sharp focus.  In each case, they require all data to be provided.  Newsagents submitting returns without issue codes or returns on the wrong EDI form (supplementary versus regular) risk missing credits.

I know a bit about this because I own Tower Systems.  Tower serves more than 1,600 newsagents and have met the evolving EDI standards since they were first introduced more than ten years ago.  We work closely with the magazine distributors and XchangeIT on changes to ensure that our newsagent community is able to process returns with certainty.  Millions of dollars are involved.  This is why we sunset our DOS software ten years ago.  DOS is dead for newsagents and has been for years.

I have also been helping several newsagents in the last week who have missed returns because inaccurate data provided via they software they have used. In three cases, the software is at fault – one did not include return codes and the other system involved did not differentiate between supplementary and regular returns. In the case of the second software company, they have not sought to understand the returns handling process and have thereby missed ensuring that their software protects newsagents from missing returns credits.

Now is the time for newsagents to contact their software providers and request immediate and guaranteed continued compliance with current EDI standards and seek up to date training on how to make this work operationally in a newsagency.

Tower Systems is currently running free EDI / XchangeIT training nationally – face to face and online.  By the end of the current cycle hundreds of newsagents will have participated.

The magazine returns process ought to be easy and certain.  Sometimes, poor technology and a lack of training can make it expensive for newsagents.  I will gladly help any newsagent missing return credits regardless of they software they use.

Newspaper and magazine distribution changes in the UK

The Financial Times reports on changes in the UK around the distribution of newspapers and magazines.

We ought to expect structural changes globally in the distribution of newspapers and magazines as publishers look for ways to improve efficiency and increase or at least protect sales.

While not on the scale of the UK changes, the changes about to flow here in Australia around the new XchangeIT platform will separate newsagents into those moving forward with magazine distributors in pursuit of efficiencies from the shop floor right back to magazine publishers and those standing still with more manual and less flexible processes.

Newsagency software and hardware offer

New XchangeIT pricing

The new annual access pricing announced by XchangeIT, the company owned by the three magazine distributors and through which newsagents receive electronic invoice data and provide sales data, at the QNF conference yesterday of $695 for users of the POS Solutions DOS software, $895 for non compliant newsagents and $495 for compliant newsagents is a step in the right direction but not far enough if they want to drive compliance among newsagents. Access for compliant newsagents should be free or, at least, token in cost. Only this will focus the minds of newsagents on the value of compliance.  It is important to demonstrate the value to the channel of the many newsagents committed to efficiency and the cost of those who are not.

How the Google book lead innovation in newsagency software

swideas2.jpgIn another first, Tower Systems launched Software Ideas on Friday, a facility at its website which gives its newsagent users a greater say in the direction of the software and delivers greater transparency over the product development process.

The Software Ideas initiative is as a direct result of several Tower team members reading Jeff Jarvis’ book What Would Google Do? The book struck a nerve with the Tower team which was already working on ways to give newsagents more say in development.

While we have always discussed changes with users, parts of the process have been behind closed doors.  Now, all users – anyone coming to our website including competitors – will see the change requests and the votes.  This transparency and our acting on requests from users will make the Tower software the most valuable software for newsagents.  It is the only software where users have a self-managed, transparent, democratic role in determining the direction of the software.

ACP launches Sales Based Replenishment program

ACP Magazines has launched a Sales Based Replenishment program for twenty-one of its titles with newsagents.  Through my software company and one of my own newsagencies, I have been closely involved in the two SBR trials with ACP for five years.  This latest SBR incarnation demonstrates the value of trialling the SBR approach to magazine distribution.   We have shared our own learnings with other software companies not involved in the trials.

The key benefit on the ACP SBR program will be a reduction in sell-outs in newsagencies.  This is good news for the publisher and for the newsagent.

The key to gaining the maximum benefit from SBR is accurate on-time sales data.  Newsagents who do not provide this automatically will miss out.  Supplying accurate on-time sales data is something Tower covers in its free online magazine management workshops as well as at its face to face training with newsagents.

Accessing sales data from newsagents is a holy-grail of sorts for the channel – every supplier wants accurate on-time sales data. ACP has placed a value for newsagents on the provision of this.  Smart newsagents will ensure they provide it so they don’t sell out.
