Newsagent training from Tower Systems

Newsagents love Gotch magazine supply initiative

Last year, Tower Systems, my software company, introduced a magazine supply adjustment initiative with Gordon and Gotch.  It allowed newsagents to make adjustments at a more logical time and place in the business than any other adjustment opportunity available to newsagents.

At the recent round of Tower Newsagent user meetings newsagents have told me how much they like the facility.  By eliminating the need to call the call centre or use a website, they like being able to see the need for an adjustment, action it immediately and receive confirmation from Gotch.  In a couple of cases they say this is saving an hour a week.

The mission for all newsagency software companies is to focus on time saving opportunities.  Cutting the time involved in managing magazines is crucial to the viability of magazines in our newsagencies.

Newsagents embrace Tyro broadband eftpos

More than 350 newsagents are now using the broadband eftpos solution from Tyro.  Both POS Solutions and Tower Systems (my software company) offer this fast and secure eftpos link.

Reaching 350 locations is significant because this involved retailers in deciding to go for new technology and quitting their traditional back relationship for eftpos services.

My own experience is that once newsagents see the speed and realise the accuracy benefits they love it.  The benefits, beyond the good fee structure, make it a financially rewarding move for the business.

Magazine management training opportunity for newsagents

Tower Systems is running its third free online magazine management training workshop for 2010 – tomorrow (Tuesday) at 11am.  Click here to book – there are places still available.

The session will cover XchangeIT EDI standards, efficient operational (arrival and return) processes, how to track theft and other points which drive efficient management of magazines.  Participation is open to any newsagent, not just Tower Newsagents.  While based on the Tower software, plenty of the content will be relevant to any newsagent.

This free Magazine Management workshop has been completed by at least 700 newsagents, making it the most widely undertaken newsagent training ever.

Magazines are the most significant product based point of difference newsagents have.  Managing this category efficiently is key to ensuring a financially healthy newsagency.  It is easy to grow other revenue off good magazine sales.  This is why I write so often about magazine here.  Until we find a replacement which generates as much traffic and revenue (which I doubt we will find) we need to take every step possible to achieve the best results possible.  This starts with excellent magazine management – hence the importance of this workshop.

The old XchangeIT to close January 12

The old XchangeIT EDI platform for newsagents is to close permanently on the afternoon of Tuesday January 12, 2010.  With all but 120 newsagents having now successfully migrated to the new XchangeIT Link, the time is right to once and for all kill off this old technology.

Newsagents not running the new platform need to make plans ASAP otherwise they will not receive electronic invoices for magazines.

FYI, Tower Systems is running free online training workshops on magazine management.  these include considerable information on the new XchangeIT Link platform.  The next session is today at 11am – but there are only two places left.

Old XchangeIT platform in last days

I am told that this is the last week electronic invoices will be provided to newsagents still using the old XchangeIT platform.  If XchnageIT moves proceed as planned, next Monday’s invoices will only be provided to newsagents through the new XchangeIT Link platform.

There will be no excuse for the small number of newsagents who have not made the move given the considerable coverage about the change throughout 2009.

200 newsagents risk not receiving magazine invoices

Around 200 newsagents are yet to migrate to the new XchangeIT Link EDI platform.  These newsagents face not receiving electronic invoices from January 1.  They also facxe slower returns credits and other operational challenges.  With more than 2,500 newsagents already migrated, getting these remaining few would be good for the channel.

Newsagents who have migrated are set to have access to some excellent business initiatives in 2010.

Newsagents move to new EDI platform

The old XchangeIT platform used by newsagents for receiving invoices from magazine distributors will close in just over two weeks. Only the new XchangeIT Link platform will work. The impact on a newsagency of not receiving invoices electronically is significant. This is what will happen in newsagencies which have not migrated to the new magazine distributor controlled platform. Gotch glitch slows magazine processing for some

A glitch in the Gordon and Gotch IT infrastructure meant that not all newsagents using the soon to be phased out original XChangeIT platform received their electronic invoices for today.  This caused considerable frustration as the newsagents affected, software companies, like mine and others, scrambled to find out the cause.

Once we found out that it was the old XChangeIT affected there was a feeling of relief.  There is plenty riding on the new platform and many of us have put out the call for newsagents to make the move to XChangeIT Link before the old EDI platform shuts down next month.

Hundreds of newsagents are yet to migrate.  Many, including those with software which will not work with the new XChangeIT Link will have to revert to manual magazine management.

Old XChangeIT platform to close in weeks

The original XChangeIT platform used by newsagents for receiving invoices from magazine distributor will close for good in several weeks.  Only the new XChangeIT Link platform will work.  I will use this blog several times between now and the closure of the old platform to let newsagents know.  Newsagents should tell their colleagues.

The impact on a newsagency of not receiving invoices electronically is significant.  This is what will happen in newsagencies which have not migrated to the new magazine distributor controlled platform.

XChangeIT newsagent EDI platform use ramps up

The old XChangeIT EDI platform for newsagents will be shutdown next month. Newsagents are being encouraged to migrate now rather than wait to the last minute.  I support this.  Panic calls once the old platfrom is turned off will be the fault of newsagents who did not prepare.  The bumps from the early weeks have been ironed out and hundreds of newsagents now successfully use the new XChangeIT Link platform.

The folks from XChangeIT sent out a new communication to newsagents yesterday:

The latest XChangeIT LINK platform has been operating very well for the last 5 weeks and so it is now time for you to upgrade to the new LINK platform.

Some of you are due for renewal in the next month or so anyway, and some who are paid up can get their renewal at no extra cash outlay because we’ll credit you for unused days.

Either way, we are closing the old platform at the end of December, so by renewing now you are getting yourself better prepared for the Christmas season.

Visit the XChangeIT web site www.xchangeit.com.au and find the link that says “click here to download an instruction pack”.

Simply follow the instructions and it should take under 30 minutes to complete your upgrade.

New low cost computer system for newsagents

Newsagent retail sales benchmark study

I am undertaking a newsagent retail sales benchmark study comparing sales for September-October 2009 against September-October 2008.

Tower Newsagents can participate by sending a Monthly Sales Comparison report: tick the box to exclude home deliveries, and tick the box for a category breakdown. Set your first date range (on the left) to September 1, 2009 to October 31, 2009 and the date range of the right to one year earlier.

Once the report is on the screen, click the PDF button to save this as a PDF, go into your email software and send a copy of the PDF to me at mark@towersystems.com.au. I’ll publish the benchmark results here and elsewhere so all newsagents can benefit.

Non Tower newsagents can participate by emailing me for a copy of a spreadsheet template I have prepared.

As with past benchmarks, I expect to get data from between 100 and 120 newsagencies in the next few days.  The results will provide an indication of sales performance year on year and give newsagents something with which to compare their businesses.

Tyro, the safe eftpos solution

Jost Stollmann, the CEO of Tyro (fast broadband eftpos), wrote to software companies which integrate their software with the Tyro eftpos solution about the recent reports of fraud using eftpos terminals.  I publish Jost’s note here in full as it provides excellent information of value to newsagents.

Tyro is better than a bank terminal since it is integrated with newsagent software.  You don’t have to key in the transaction value.  Approvals are processed in under two seconds usually.  As Jost notes, security is considerably enhanced over the old technology terminals you probably have today:

In recent press you may have seen headlines alerting Australians of a card payment scam that was discovered in a West Australian multinational fast-food restaurant chain. Something like 3,500 customers seem to have been defrauded by $4 million. What about your merchants? Are they exposed without knowing?

This is a check list for their peace of mind that I sent them:

1. Have your acquirer guarantee that his terminals are PCI PED and EMV 4.0 certified! All Tyro terminals are. They are the newest generation protected against eavesdropping, tampering or message forgery. All sensitive information is protected, and instantly erased if the terminal is tampered with.

2. Have your acquirer guarantee that no card holder data passes on to any PC, for instance residing in memory in the clear! With Tyro’s integration technology, no card or PIN data is ever passed on. It never reaches your Point of Sale (POS) software. Therefore, even if malicious data capture software was to be loaded onto your POS, it would not be possible to capture, store or transmit confidential card data.

3. Have your acquirer guarantee that card holder data is never transmitted in the clear! With Tyro’s technology, any transmission occurs only encrypted through an-end-to-end secured connection between our PCI PED certified terminal and our PCI DSS compliant switch, and it is using totally safely the public internet.

Sorry, if this sounds a little like bragging on about ourselves, but we are dead serious. The reality is that most EFTPOS terminals transmit card data in the clear. Integrated EFTPOS solutions hold card data in memory in the clear. We think it is most important to protect merchants and card holders against the increasingly sophisticated fraud industry. It is also important to maintain the consumers trust in the card payment industry.

Paper returns no longer accepted

Network Services has advised that effective 1st November, they will no longer be accepting or crediting paper Supplementary Return forms. This includes any old paper template forms and POS printouts. This is the next step in the modernisation of the newsagency channel, a project near to our hearts as it helps newsagents cut time out of the operation of their business.  All Supplementary returns are to be submitted by one of two ways – XChangeIT LINK or NETonline.

Newsagents switching to the latest software can cut paperwork, speed up returns credits, reduce mistakes and achieve a more balanced supply.  I have seen newsagents cut between fifteen and twnety man hours a month from their back office operation when switching to the new standards.  This is a net saving to the business of $4,000 annually.

While there is a considerable operational benefit to the magazine distributors of the latest IT moves, there is also a significant benefit to newsagents.

Deep into newsagency performance data

I have been buried deep in sales, basket and other data from a pool of more than 100 newsagecies for the last ten days as I prepare for a presentation I am giving tomorrow morning at the National Newsagency Conference hosted by newsXpress.

I will present up to date stock turn, average sale, margin and sales data on a same store year on year comparison basis to help newsagents better understand the challenges and opportunities of today’s marketplace.

I am also presenting a version of this latest study to a couple of newsagent suppliers keen for an update on this research.

By early next week I hope to have found the time to summarise the presentation and publish it here along with the slides summarising the research findings.

Good data is a key differentiator between successful newsagencies and not so successful newsagencies.

When a newsagent software salesman lies

Sometimes the software side of the newsagency channel can get pretty dirty.  I saw this happen last week when a salesman claimed that his system had certain features that others did not have.  He lied.  At least two other systems have all the features he claimed only his system had.  The newsagent went with his system solely because of the claim.  They will learn the consequences for not checking if they were being told the truth.

One reason software companies lose market share is that lies like ones told last week come back and bite them.

Newsagents considering installing software should shop around.  The software marketplace is going through a shake up.  Check sales claims.  Trust only what is proven.

Using Apple’s iPhone to deliver newspapers

iphone2.JPGThe photo shows a newspaper home delivery run list on an Apple iPhone.  This is one of several forms a newspaper delivery run list can take on an iPhone.  The feed comes from the newsagency home delivery software.  Sexy huh?!

Newsagent software from my company, Tower Systems, has been interfacing to portable in-car devices since the early 1990s.  The iPhone interface has been available since before the iPhone was officially released here in Australia.  We like it because it is slim and can be easily stuck to the dashboard.

The benefits of all these portable  in-car devices are a significant reduction in the use of paper and an equally significant saving of time – thereby enabling changes to be handled closer to the actual delivery.

While I do question the long term viability of newspaper home delivery – given a publisher controlled model which does not permit newsagents to act as independent business people – many of us continue to be involved in helping newsagents drive efficiency.

The iPhone interface is one of a range of time and money saving management tools available to distribution newsagents directly from the Tower Systems home delivery software.

Free training videos for newsagents

The training videos enable newsagents and their staff to learn about newsagent software and topics such as magazine returns and other newsagent topics.  They provide consistent and accurate training which can easily be reviewed.  More videos will be added in the coming weeks.

These training videos are in addition to the free live online training workshops, the face to face user meetings and one on one training in store.

Update on XChangeIT update

Here is an update on the status of yesterday’s update to XChangeIT Link:

We had a few issues with a couple of the distributor gateways during the night, and therefore files will be delayed in delivery to you. We will contact you with updates during the day via email. Gotch & NDC may also send their invoices via email, depending on the status later today.

I have heard from a number of newsagents that the link has loaded successfully overnight.

XChangeIT update available today

Newsagents using the new XChangeIT platform has been asked to act AFTER 4:30PM TODAY to ensure they are running the new release.  This will help address some of the operational challenges of the last month – it’s an important update.  The advice from XChangeIT for noewsagents to either reset or reboot their computers as follows:

To Reset:
1. At a convenient time shortly after 4:30PM on the 30th September, right click on the XchangeIT icon (its the blue triangle) in your bottom right task bar
2. Select the Exit option. This will close the XIT application and remove the icon from your task bar
3. Go to your Start menu and select All Programs.
4. Select the XchangeIT Link and the XchangeIT Newsagent Client option. This will launch the XIT application with the new version installed.
5. Check in your Newsagent client at the top right corner just below the round picture of the world and you should see v1.0.40.
6. Send us an email to let us know you have completed the upgrade support@xchangeit.com.au

To Reboot:
1. At a convenient time shortly after 4:30PM on the 30th September, simply shut down all programs you might have running, and save any work in process.
2. Shut down your PC
3. After 30 seconds turn your PC on again. Start your regular programs and start your XchangeIT LINK EDI program. The new version 40 with a new security key should automatically load. You should be able to continue receiving and sending files as normal.
4. Check in your Newsagent client at the top right corner just below the round picture of the world and you should see v1.0.40.
5. Send us an email to let us know you have completed the upgrade support@xchangeit.com.au

To check what version of XchangeIT LINK you are running:
1. In your Newsagent Client look at the top right corner just below the round picture of the world
2. There you should see v1.0.40 after you have upgraded.

The folks at XChangeIT have consulted widely on the release of this update including the timing to ensure that it is released at the best time possible for newsagents.

Online software demo for newsagents

My software company, Tower Systems, is hosting an public online demonstration of our newsagency management software for newsagents using the old POS Solutions software.  This idea was pitched to us by a couple of newsagents using POS Solutions and we thought it was a good idea.

In the session, we will draw on the experience of switching many POS Solutions users (more than 200) to our software and show how newsagents benefit from the moves.  We will also show how the move is often financially rewarding thanks to our transparent approach to support fees.

XChangeIT update for Sept. 1

XChangeIT successfully completed a server upgrade today to address recent issues. Network & NDD files for tomorrow have been sent successfully. Gordon & Gotch has advised that there server is down (unrelated to other XChangeIT problems over the last week) and that every available resource has been pursuing a resolution.

UPDATE: I am told that this is fixed but at the time of poting am yet to have  this confirmed.

XChangeIT slows roll out

The rollout of the new XChangeIT Link platform to newsagents has been slowed following a series of issues which were experienced by newsagents and suppliers last week.  this is a welcome move as it allows everyone to focus on sorting out platform related issues without needing to help newssagents migrate.
